Choosing the right report

Which report does our RTO need?

Choose according to what you want to review: your assessment materials or a student's submitted evidence.

  • Pre-Validation Report: review matching student and assessor packs for potential gaps and inconsistencies before delivery.
  • Student Assessment Marking Report: review a student's evidence against unit requirements, with findings for a qualified assessor to consider before making a final decision.

Pre-validation can be used on its own. For student assessment marking, check the setup and onboarding steps.

How should we compare services when prices differ?

Compare what is checked—not just what the report costs.

Our service supports assessment quality and your RTO's compliance work—not just feedback generation. It checks the information taken from your documents, how assessment materials and evidence connect to unit requirements, and whether the findings are consistent. Your team can use the findings to identify gaps, plan improvements and support validation activities.

When comparing services, ask:

  • Depth: what does the review cover, and how are its findings checked?
  • Clarity: does the report explain the issue, where it occurs and what to review next?
  • Compliance support: can your team use the findings to review assessment quality, document improvements and inform validation?
  • Total cost: what is included, and what requires a separate purchase?

Watch the Pre-Validation Report walkthrough and Student Assessment Marking Report walkthrough to see the detail before deciding. Your team still reviews the findings and remains responsible for assessment decisions.

Why use this service rather than a general-purpose AI tool?

You are purchasing assessment-quality and compliance support for your RTO, not just an AI response. General-purpose tools such as ChatGPT can help draft or discuss materials, but your team still needs to define the review, check unit requirements and turn the responses into documented findings.

Our service brings those checks into a purpose-built report workflow: reviewing matching assessment packs or student evidence against unit requirements, identifying gaps and presenting findings your team can use for assessment review, validation and improvement records.

AI-generated advice alone does not establish compliance. Our reports support your RTO's processes; they do not replace formal validation or guarantee compliance.

What you receive

What will our Pre-Validation Report tell us?

A Word report identifying potential issues in your assessment materials and improvements to consider before delivery.

  • Pack consistency: student and assessor pack structure findings, with source references and recommended fixes where issues are identified.
  • Marking guidance: question and task reviews identifying missing or inadequate assessor guidance, with acceptance and non-acceptance criteria for written questions.
  • Proposed improvements: replacement assessor guidance where required and supported by your materials.
  • Coverage and mapping: a requirement-to-assessment register connecting requirements to tasks, learner evidence and assessor guidance, with coverage and mapping findings.

Your packs remain unchanged; your RTO reviews and approves any proposed changes. Watch the Pre-Validation Report sections explained.

For a practical example, see how pre-validation identified mismatched tasks in student and trainer guides.

What will our Student Assessment Marking Report tell us?

You receive a Word report reviewing a student's submitted evidence against the unit's assessment requirements, with separate assessor preparation and student-facing feedback sections.

  • Assessor preparation: an attention checklist where relevant issues need review, identifying the item, reason and evidence location where available.
  • Student feedback: assessment outcomes, task and item feedback, and strengths or improvement requirements where supported by the evidence.
  • Next steps: student-facing follow-up and Resubmission guidance where applicable.
  • Review record: a final Assessor Review Record with fields for the assessor's name, signature and review date.

Before sharing with the student, the assessor checks the findings, confirms the final decision and completes the review record. They remove the assessor preparation pages but retain the final review record. Watch the Student Assessment Marking Report explained.

Costs and purchasing

Can I purchase pre-validation without enabling student assessment marking?

Yes. Pre-Validation Reports can be purchased independently to review your materials and support your improvement records. If you proceed to student assessment marking, separate activation and completed onboarding are required before submitting student work.

What does each report cost, and what is charged separately?
  • Pre-Validation Report: A$149 per report under the launch offer, with volume discounts from 20 reports purchased together.
  • Student assessment marking: typically A$9–A$19 per submission, with plagiarism checking included. The price varies by unit, based on the length and content of its assessor pack.
  • Marking activation: a one-time fee per eligible unit, typically A$399. Additional advisory services may be quoted separately.

Pre-Validation Reports and marking activation are separate purchases from ongoing submission charges. Confirm the activation price, current submission price and any separately quoted advisory scope before purchasing. See pricing and offer conditions.

For ordering, cancellation and refund conditions, read our Terms of Service or ask us to clarify the costs for your needs.

Are volume discounts based on one purchase, and do report allowances expire?

The launch offer discounts purchases of 20 or more Pre-Validation Reports together. The qualifying discount applies across that purchase; it is not based on your lifetime purchase total. See the volume tiers and allowance expiry.

Choose a quantity you can use before its expiry. In particular, the 20–49 report tier has a six-month allowance, shorter than the standard launch allowance. Check the current expiry and promotion eligibility in your account before ordering. Repeat reports may need another purchase; check your remaining allowance before uploading revised packs.

Does the activation fee include all consultant support?

The one-time fee enables student assessment marking capability for an eligible unit. We guide you through preparation, but additional advisory services may be quoted separately. Assessment materials, clarification and revisions affect the support required; do not assume the activation fee includes unlimited consultancy or revisions. Discuss your materials and confirm the scope before purchasing.

Buying capability is not the same as being ready to submit student work. Address required pre-validation findings and complete onboarding, then confirm the unit is ready. See the preparation steps.

Can the student submission price change if we replace our assessment packs?

Yes. The submission price depends on the unit's assessor pack. Replacing packs may change the price for future submissions once processing completes, using the plan rates configured at that time. Review the updated unit price before submitting more student work.

Preparing and receiving your reports

Can we use our existing packs, and what should we prepare?

Yes—prepare matching student and assessor packs in DOCX or PDF for the same unit release and assessment version. Include the whole assessment, not just written questions.

  • Student pack: task instructions, evidence requirements, templates, assessment conditions and declarations.
  • Assessor pack: marking guidance, benchmarks, observation tools, decision rules, mapping and assessor instructions.

Incomplete materials can limit the review. Student assessment marking suitability depends on the unit, evidence format and practical requirements. See what to prepare or check your materials with us before purchasing.

How long does it take to receive a report?

Both the Pre-Validation Report and the Student Assessment Marking Report typically take around 30 minutes to process after your upload is accepted. This is an estimate, not a guaranteed turnaround time; processing times can vary.

How do we receive the Pre-Validation Report, and what if it has not arrived?

Once your pack upload has been accepted, processing continues in the background; you can close your browser. Follow progress and download the Word report in Unit Setup.

When ready, the report is emailed as an attachment to the submitter and users in the same billing account who can manage unit setup. If it has not arrived, check Unit Setup and your spam folder rather than uploading the same packs again. Contact us if you need help with the status.

What is required before student assessment marking can begin?

A Pre-Validation Report alone does not activate student assessment marking. Before submitting student work:

  1. Materials ready: address required findings and keep the student and assessor packs aligned.
  2. Marking activated: purchase access to student assessment marking for an eligible unit.
  3. Onboarding complete: complete consultant-led onboarding and confirm your latest unit setup is ready, the unit is enabled and its current submission price is available.

See the readiness steps or discuss onboarding with us before uploading student work.

Using findings responsibly

What if a report identifies a gap, or we disagree with a finding?

Check the finding against the task, source materials and unit requirements before deciding what action is appropriate.

For pre-validation, record agreed changes and keep both packs aligned. If revised packs are needed, upload both together after checking your report allowance and any extra cost. For student assessment marking, the assessor checks the evidence and decides the follow-up.

If something is unclear, contact us with the question or task and the finding you want clarified. Avoid including student personal information in an initial enquiry.

How do the reports support ASQA expectations?

They help your team review materials, identify potential evidence and guidance gaps, and document improvements. Pre-validation supports assessment-tool review before use under 2025 Standard 1.3. Findings can also inform assessment and evidence review under Standard 1.4, RTO-led validation under Standard 1.5 and continuous improvement under Standard 4.4.

Does pre-validation replace formal RTO validation or guarantee compliance?

No. Your RTO remains responsible for formal validation of assessment practices and judgements, including sampling, appropriately skilled and credentialed participants, decisions and follow-up. Reports can inform that work but do not provide ASQA approval, endorsement, certification or a compliance guarantee.

Does AI make the final assessment decision?

No. Qualified assessors remain responsible for final decisions. The report supports their review; they must consider the required evidence, practical performance, assessment conditions and learner circumstances.

Document-based review cannot independently establish student identity, authorship or practical performance. Similarity and AI-content indicators are prompts for investigation, not proof of misconduct.

Your materials, privacy and security

Are our assessment materials or student submissions used to train AI?

No. We do not use customer or student materials to train AI models. AI-assisted processing may involve personal information in your documents and service providers needed to deliver the reports.

Only upload materials you are authorised to share, with the required permissions and notices. Read our Privacy Policy for details.

Should we remove student names and numbers before uploading?

No—not when they are required by your assessment materials. Keep the student name and student number where required. These details help match the submission to the student, check that identification is complete and consistent across documents, and link any Resubmission to the original attempt.

Removing required details may lead to missing-information findings or additional assessor review. These document checks do not independently verify the student's identity or prove who completed the work.

Names and student numbers are still personal information. Avoid including unrelated personal or sensitive information unless it is required as assessment evidence. Only upload information you are authorised to share, with the required notices and permissions. If you are unsure whether particular information is needed, contact us before uploading.

Do we keep ownership of our assessment materials?

Yes. As between you and us, you retain ownership of the materials you provide. Our Terms of Service explain permitted uses, including service delivery, record keeping and system improvement, and the use of de-identified or aggregated service data.

Our Privacy Policy explains retention and access or correction requests. If your RTO has specific confidentiality, retention or deletion requirements, discuss them with us before uploading.

Where is our information stored and processed?

Our website and primary service data are hosted in Australia. Some processing by AI technology or other service providers may occur overseas. Read our Privacy Policy and discuss any location or processing requirements before uploading.

How is our information protected?

We use layered security measures on Microsoft Azure, including encryption when information is transferred and stored, a web application firewall, private network connections to internal services, restricted staff access and security monitoring. These measures help protect your assessment materials and student information against unauthorised access and misuse.

We do not use customer or student materials to train AI models. Read our Privacy Policy for information about how we handle personal information, or contact us to discuss your RTO's security and confidentiality requirements before uploading.

How long do you keep student submissions and assessment reports?

Our standard retention period for student submission documents, final assessment reports and related assessment records is three years after the latest finalised attempt in the related submission history, including Resubmissions. Relevant records may be retained longer for active processing, disputes or legal obligations.

Your RTO should keep its own copies to meet its recordkeeping requirements; our service does not replace your records archive. Read our Privacy Policy or contact us about retention requirements or deletion requests.
